Under the direction of the Director, the Events and Global Health Foresighting Special Projects Assistant provides support in the logistical planning, marketing, and execution of events conducted at the Dahdaleh Institute for Global Health Research (DIGHR), including volunteer recruitment and management, scheduling, invitation and marketing material creation, event space design and set-up, liaising with vendors, and partners, various administrative tasks, and other duties as assigned including: research, develop, design, and produce written and digital communications material (e.g. website articles, social media posts, articles and/or graphics relating to research activities for media advisories, promotional purposes, presentations, and briefing notes.)
Basic Duties and Responsibilities
- Collaborate with the Director to research, develop, edit, and produce content for communications materials as required.
- Develop outreach and communications strategies such as creating written and visual content related to research, events, and activities
- Act as a first responder to incoming and outgoing queries including social media and other web-based technology.
- Conduct research on web activities of other global health institutions.
- Manage overall web design and web page content updates.
- Works with researchers on synthesizing research findings for creating clear language research summaries (using accessible language to describe complex concepts, i.e., science for the non-scientist).
- Prepares meeting agendas with supporting documents/ information. May manage highly confidential and sensitive documents (e.g. budgets).
- Act as a representative of the DIGHR at events as assigned.
- Take minutes, record actionable items, and ensure appropriate follows-up.
- Create and maintain a digital research repository to be accessed by DIGHR Fellows, Students, and Researchers.
- Design and deliver training and support programs (i.e. workshops and sessions) on various emergent technologies such as Prezi presentation software.
- Attend all training sessions and meetings, unless in direct conflict with a class. Inform supervisors of any conflicts well in advance if attendance is not possible.
- Stay in regular contact with supervisors and meet regularly to keep all parties informed.
- Complete other duties as assigned.
Education & Experience
- Current undergraduate York student (we encourage applicants from diverse programs of study)
- Experience and familiarity with York (Keele) campus life, policies, and procedures as they relate to Finance, Campus Services, Human Resource, Health and Safety etc.
- Previous experience in a customer service environment an asset
Skills & Qualifications
- Demonstrated skills in event planning and management
- Interest and experience in program marketing and promotions
- Excellent communication skills: professional email/phone correspondence, public speaking and presentation proficiency
- Experience working with people from a variety of backgrounds/cultures
- Excellent computer skills (word processing, email, database management, spreadsheets)
- Demonstrates an eagerness to learn and take on initiative
- Demonstrates organizational and time management skills
